Good tenants pay on time, look after your rooms and recommend you to friends. A simple, consistent process helps you find them while treating every applicant fairly. This is general guidance, not legal advice.
Use the same process for everyone
Ask every applicant the same questions and apply the same requirements. Judge applicants on things that matter for the tenancy, such as the ability to pay, respect for house rules and move-in dates, not on ethnicity, religion, region or other personal characteristics.
Confirm who's paying
Many students are supported by parents, guardians or scholarships. It's reasonable to ask who will pay and to speak with a parent or guardian, especially for first-year students.
Meet at the viewing
The viewing is a chance for both sides to ask questions. Explain the house rules, what's included in the rent and how repairs are handled, so expectations are clear from the start.
Put terms in writing and issue receipts
Agree the rent, period covered, what's included, deposit terms and house rules in writing. The Rent Act requires landlords to give a written receipt for every rent payment, and it caps advance rent for residential premises at six months. In 2026 the Rent Control Department increased enforcement, including on student hostels.
Keep records
Keep copies of agreements, receipts and important messages. If a dispute arises, clear records protect both you and your tenant.
A fair, consistent process and clear written terms reduce problems for everyone. Listing on UniRooms is free, enquiries come through your owner dashboard, and you collect rent directly. UniRooms never takes a cut.
